This notice explains what personal information SQ Creative Media London collects, why we need it, how long we keep it and the rights you have. It covers this website, enquiries and the work we do for clients.
Who we are
SQ Creative Media London is a trading name of Surrey Quays Photo Studio Ltd, registered in England and Wales, company number 16218366. Our registered office is 142 Lower Road, London SE16 2UG.
We are the controller of the personal information described in this notice. That means we decide how it is used and we are responsible for looking after it.
What we collect
- When you send an enquiry: your name, email address, business name, phone number if you give it, the services you choose and your message.
- When you email, call or message us on Instagram: your contact details and anything you tell us.
- When you become a client: contact details for you and your team, project details, contracts, invoices and payment records. We never store card details — card payments are handled by our payment provider.
- When you visit this website: our hosting provider keeps technical logs, such as IP address and browser type, to keep the site secure and working.
We do not use analytics, advertising trackers or social media plugins on this website.
How we use it, and our lawful basis
UK data protection law says we must have a lawful basis for each way we use personal information. These are ours:

Who we share it with
We only share information with providers who help us run the business, such as our website host, our form processor, our email provider, our accountant and our payment provider. They act on our instructions and must keep your information secure.
When you submit the enquiry form on this website, the details you type are passed to the form processing service that delivers it to our inbox. That service receives your name, email address, business name, phone number, the services you selected and your message.
We may share information with authorities such as HMRC when the law requires it. We never sell your information.
Storage outside the UK
Some of our providers may store information outside the UK. When they do, we make sure it is protected by safeguards approved under UK law, such as UK adequacy regulations or the International Data Transfer Agreement.
How long we keep it
- Enquiries that do not lead to work: deleted within 12 months.
- Client records, contracts and invoices: 6 years from the end of the financial year they relate to, because UK tax law requires it.
- Website logs: kept by our host only as long as needed to keep the site secure.
Cookies and storage
This website does not set cookies, so you will not see a cookie banner.
If you choose the dark or light theme, your browser remembers that choice on your device using local storage. It is never sent to us, and you can clear it in your browser settings at any time.
The enquiry form includes a hidden field that people never see and never fill in. It is there to catch automated spam, and we discard anything that completes it.
Our fonts, images and the 3D model all load from this website, so your browser does not contact Google or any other company when you visit. Links to Instagram take you to Instagram's own website, where its privacy policy applies.
Keeping it secure
We limit access to the people who need it and use secure, password-protected systems. When we show client projects on this website, we use screenshots that contain no personal information, or sample data.
Your rights
You can ask us to:
- give you a copy of the information we hold about you
- correct information that is wrong or incomplete
- delete your information
- limit or stop how we use it
- send your information to you or another organisation in a common format
Where we rely on your consent, you can withdraw it at any time. To use any of these rights, email support@sqcreativemedialondon.co.uk. It is free, and we will reply within one month.
Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right.
You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
